Privacy & public leaderboard information
This management demo uses fictional golfers, companies and distances. No attendee registration form is connected. We have not added analytics or marketing forms; the hosting provider may process technical request logs.
Before a real event
Give golfers a collection notice at registration and record their choice about public display before publishing identifiable results. Publish only the agreed display name, company (if agreed), rank and drive distance. Keep contact details, check-in records and the registration workbook private.
The public link can be opened and shared outside EventFi WiFi. Screenshots and copies made by visitors may remain after a result is removed.
Suggested registration opt-in — draft
“I choose to have my agreed display name, company and drive distance shown on the event’s public online longest-drive leaderboard and clubhouse display. I understand that anyone with the link can view and share these results, including outside the venue. I can decline public display or ask the registration team to change or remove my entry.”
Use a separate, unticked checkbox. Offer a non-identifying alias or exclude the public entry if the golfer declines. Marketing permission is a separate choice.
Complete the event notice before collecting real data
The organiser must identify the responsible party and its contact/address details, EventFi’s role, collection purpose, data recipients and hosting arrangements, any overseas processing safeguards, retention/removal dates, whether providing each field is voluntary and the consequences of declining. Explain access, correction, withdrawal/objection and complaint rights, how to exercise them and how to contact the Information Regulator.
This draft needs the organiser’s Information Officer to finalise it for the event. It is not an active consent form or a claim of POPIA compliance.
